Guideline for New York State Elks Web Sites

I - What content is appropriate for the State, District or Lodge Online Newsletters or Web Sites:
  • Generally, any content indicated by the Main Structure is deemed appropriate and should generally be focused on the interests of the site's type.  In this capacity site type refers to the State & the Empire State Elk Publication Online and any District or Subordinate Lodge.
  • Acknowledgements of copyright permissions, non-income bearing services, software or contributions made.  The common courtesy of acknowledgement is sometimes necessary.
  • Charitable donation dollar amounts given by Elks.
  • Content that is consistent with and desired by the Empire State Elk including:
Auxiliary Activities
Charitable Activities
Civic Involvement
Drug Awareness Programs
Grand Lodge Awards
Institution of New Lodges
Mortgage Burning
Patriotic Programs
State Association Awards
State HoopShoot
State Major Project
Veterans Service Programs
Visit by Grand Exalted Ruler
Visit by State President
Youth Programs
II- What content is NOT appropriate for the State, District & Lodge Online Newsletters or Web Sites or Supplemental Non-Elk Web Sites unless placed under Password Protection:
  • Chat Rooms
  • Anything that endorses or implies support of any political candidate or political position unless so directed or approved by the Advisory Board or its appointed representative.  Endorsements can become an IRS issue or a violation of our order's principles.

  • Ads, banners, links or advertising that are a source of direct or indirect income for the association or the B.P.O.E. or indicate that our lodge, facilities or activities are "open to the public" unless so directed or approved by the district sponsor and/or endorsed by the advisory board or the Grand Lodge where applicable. This content can become an IRS issue and one of public accommodation. If we were to have public ads, etc. on our sites or indicate that we are open to the public we could then be considered a place of public accommodation.

  • Publication of an individual's phone number or home address unless permission has been obtained from the individual. 
  • Statements of earnings from any legal games of chance.
  • Any photos depicting actual or implied consumption or display of alcoholic beverages.

III - What content is NOT appropriate for any State, District & Lodge Online Newsletters, Web Sites or Supplemental Non-Elk Web Sites:
  • Any content that is detrimental to the good name of the association and the BPOE.
  • Any profanity, nudity or anything of a sexual nature or any links or connections thereto.
  • Any indications of Gambling, Games of Chance, Raffles or advertising for such events unless properly licensed by the NYS Racing & Wagering Board.  Lodges may engage in such activities providing that they are in full compliance with all Federal, State and Local laws.  The Lodge must also have properly filed the required "Verified Statement" (GCVS-2) and have a Games of Chance ID number.  Any lodge not doing so or any lodge advertising on any online medium would be placing themselves at risk.   • Any solicitations for membership. This would also be a place of public accommodation issue since the government considers the web public domain. Outlining our requirements for membership is acceptable content, but we must not and cannot seek out members through any online medium.
  • Reproduction of an Elk's Membership Application in electronic form and placed on the web site for downloading.

  • Any disclosure of the financial condition of a lodge, district or association.
  • The display of photos on any non-Elk web sites utilized to supplement an Elk site, depicting actual or implied consumption or display of alcoholic beverages.

  • Any photo what-so-ever displaying the lounge bar, alcoholic beverages or consumption thereof when associated with any children's event.

NOTE: The area of content appropriateness is one of extreme importance to us as Elks.  It is also important to note that these guidelines are not only applicable to our State's web site but should also be adhered to by our Districts and Lodges.   Additionally, the contents of these guidelines are continually subject to change and new guidelines have been and may be added as necessary.
